Universal Employee Trace Tool – Protecting & Managing Employees during COVID-19

We are in uncharted waters with this virus and the outbreak is having a growing impact on the global economy, and on peoples’ day to day lives - at Humanforce, we're preparing for how we can best prepare you for managing employees during covid.

In response, Mike McGee, Chief Product Officer and the team at Humanforce have built an Employee Trace Tool to help all employers better manage and protect their teams in this unfamiliar environment.

Our aim is to minimise the effects of the virus today, as well as prepare for potential further impacts in the coming months. This Employee Trace Tool is simple and straightforward to use. It can be used with virtually any timesheet or schedule data, to map out who may have been exposed to a potentially contagious co-worker. We want to make this available for free to anyone, anywhere in the world in the hope that it may support your COVID-19 responses, keep your employees safe, and minimise the business impacts of this crisis.

The tool is based on Humanforce’s Contact Trace Report, which allows you to see which employees an individual has worked with over a specified period of time. We have seen a huge jump in the number of our customers needing to access this report. We appreciate that if an employee has had a positive diagnosis, you need to know who else they may have come into contact with, and quickly.

It struck us just how many co-workers a casual shift-worker could come in contact within a couple of weeks. The greater the number or employees in a business, the permutations can increase exponentially. It was also evident how difficult and error-prone figuring this out manually might be. For businesses that keep schedule and timesheet records on spreadsheets, or use software that is more basic, without Humanforce’s advanced reporting capability, it could be quite onerous.

Mike has built this Employee Trace Tool to mimic the logic of our Humanforce Contact Trace report, but it can be used with just about any source of timesheet or roster data.

We are happy to share this with anyone who might need it. Please bear in mind that you might need to reconfigure, adjust or rename a couple of columns in the spreadsheet you use to track shifts or the export from your T&A/WFM/Payroll system. With a few minor adjustments, you should be able to make it work any set of schedule or timesheet data. This tool can export to CSV, which will allow you to process the data into mail service providers or other systems.
